Nearest, so 15-minute rounding is the 7-minute rule: 8:07 goes down to 8:00, 8:08 goes up to 8:15. 6 minutes is a tenth of an hour.

Duration = end − start, plus 24 hours when the end is earlier than the start, minus the break. Decimal hours = minutes ÷ 60.

Common shifts, worked out

Twenty shifts people look up most, totalled by the same code as the calculator above. On the clock is start to end; worked is after the break.

Rounding, and the 7-minute rule

Many payroll systems round each punch before they subtract. The common settings are 5 minutes, 6 minutes and 15 minutes. Six minutes is a tenth of an hour, which makes decimal hours come out in neat tenths. Fifteen minutes is the quarter hour, and rounding to the nearest quarter is what people mean by the 7-minute rule: a punch up to 7 minutes past the quarter goes down, 8 minutes or more goes up, because the midpoint of fifteen minutes is seven and a half. Under US federal rules rounding is allowed as long as it does not consistently favour the employer, which is why it must be nearest, not always down.

Set the same rounding in Settings above and your total will match a rounded pay stub. The examples below are computed by the same function.

Which mode to use

Between two times is the everyday case: one shift, same day or overnight, with the break taken off. Between two dates is for anything longer than a day, such as a weekend on call or a span across a shutdown; it counts whole 24-hour days between the dates and adds the difference in times. Add or subtract answers the other question, what time it will be after a given number of hours, and tells you if that crosses midnight. Whole week is the time card, for a row per day with overtime rules, and it is the one to use when the question is a paycheck rather than a shift.

Enter a start time and an end time to get the exact duration in hours and minutes, decimal hours and total minutes. Subtract an unpaid break as a number of minutes, or enter up to three breaks as the times you left and came back. If the end time is earlier than the start, the calculator assumes the next day, so night shifts work without any extra step. Round each time to 5, 6 or 15 minutes if your payroll does, switch the display between 12-hour and 24-hour, span more than one day with the dates mode, or open the weekly tab to total a whole time card.

Worked examples

9 to 5 with a 30-minute lunch
9:00 AM to 5:00 PM is 8 h 00 m on the clock; minus 30 minutes gives 7 h 30 m, or 7.5 decimal hours.
Overnight
11:00 PM to 7:30 AM is 8 h 30 m. Because 7:30 AM is earlier than 11:00 PM, the calculator counts across midnight.
Breaks as times
7:00 AM to 3:30 PM with lunch 12:00 to 12:30 and a break 10:00 to 10:15 is 8 h 30 m on the clock, 45 minutes of breaks, 7 h 45 m worked, 7.75 decimal.
Rounded to 15 minutes
8:08 AM to 4:52 PM is 8 h 44 m exact. With 15-minute rounding the punches become 8:15 AM and 4:45 PM, which is 8 h 30 m. One minute earlier, 8:07, would have rounded down to 8:00 and given 8 h 45 m. That is the 7-minute rule.
Across dates
Friday 10:00 PM to Sunday 6:00 AM is 1 day 8 hours, which is 32 hours before breaks. Use the between-two-dates mode for anything longer than a day.
Add time
2:45 PM plus 3 h 20 m is 6:05 PM. 8:00 AM minus 45 minutes is 7:15 AM.

How it is calculated

Duration = end − start, in minutes; if end is earlier than start, add 24 hours. If rounding is on, each time is first rounded to the nearest 5, 6 or 15 minutes. Subtract the breaks, entered as minutes or as start and end times. Decimal hours = minutes ÷ 60, rounded to two decimals. Across dates, the span is whole 24-hour days between the dates plus the difference in times. Adding a duration to a clock time wraps at midnight and reports the day change.

Questions people ask

How many hours is 9 to 5?
8 hours on the clock. With a 30-minute unpaid lunch it is 7.5 paid hours; with a one-hour lunch, 7 hours.
How many hours is 8:30 to 5:00?
8 hours 30 minutes, or 8.5 decimal hours, before any break. With a 30-minute lunch, 8 hours exactly.
How many hours is 7:30 to 4:30?
9 hours on the clock. Most 7:30 to 4:30 shifts include a one-hour lunch, which makes 8 paid hours.
Is 9 AM to 5 PM 8 hours?
Yes, 8 hours on the clock. Whether all 8 are paid depends on the lunch: a paid lunch keeps 8, an unpaid 30-minute lunch leaves 7.5.
How do I calculate hours worked overnight?
Enter the start and end times as usual. When the end is earlier than the start the calculator adds 24 hours, so 10:00 PM to 6:00 AM gives 8 hours.
What is the 7-minute rule?
With 15-minute rounding, a punch up to 7 minutes past the quarter rounds down and 8 minutes or more rounds up. 8:07 becomes 8:00; 8:08 becomes 8:15. It follows from rounding to the nearest quarter hour: 7.5 minutes is the midpoint. Pick 15 min in Settings to apply it.
What is 7 hours 45 minutes in decimal?
7.75 hours. Divide the minutes by 60: 45 ÷ 60 = 0.75. The chart below the calculator lists every minute from 1 to 60.
How do I enter more than one break?
Switch Breaks to As start and end. There is room for three: the time you left and the time you came back for each. Pairs you leave blank are ignored, and the total break is shown under the fields.
Can it count hours across several days?
Yes. Choose Between two dates, enter a start date and time and an end date and time, and the result is shown in days, hours and minutes as well as total hours and decimal. Breaks are subtracted the same way.
How do I add up hours for a whole week?
Open the Whole week tab. It is the time card calculator: a row per day, breaks, rounding, overtime rules, an optional hourly rate, and CSV or print. Copy Monday to every day if the week is the same each day.
Does it handle 24-hour (military) time?
Yes. Type 17:30 or 1730 and it is read as 5:30 PM. Settings lets you show every result in 24-hour form too. The military time converter has a full chart.
Why does my total differ from my pay stub?
Usually rounding or breaks. Payroll may round each punch to 6 or 15 minutes, which can move a day by up to 7 minutes each way, and it may deduct a lunch automatically. Set the same rounding here and enter the break to match.
