Worked examples
- Standard week
- Five days of 9:00 AM–5:30 PM with a 30-minute lunch → 8 hours a day, 40:00 total, no overtime.
- Overtime week
- Five days of 8:00 AM–6:00 PM with no break → 50:00 worked, 40:00 regular, 10:00 overtime under federal rules.
- California daily rules
- One day 6:00 AM–8:00 PM → 14 hours: 8 regular, 4 overtime (hours 9–12), 2 double time (over 12).
How it is calculated
Hours per day = (out − in) − break, with the out time taken as the next day when it is earlier than the in time. Under federal rules, hours in a 7-day week beyond 40 are overtime. Under California rules, hours beyond 8 in a day are overtime, beyond 12 are double time, and regular hours beyond 40 in the week become overtime; daily overtime is not counted twice. Rounding applies to each punch before calculation.
Questions people ask
- How do you calculate a time card with lunch?
- Subtract the unpaid lunch from each day. 9:00 AM to 5:30 PM is 8.5 hours on the clock; minus a 30-minute lunch gives 8 paid hours. Enter the lunch length in the break column.
- How do I convert time card minutes to decimal?
- Divide the minutes by 60. 7 h 45 m is 7.75; 8 h 10 m is 8.17. The totals show both formats.
- What is 6-minute rounding?
- Punches are rounded to the nearest tenth of an hour (6 minutes), a common payroll setting. 8:03 becomes 8:00 and 8:04 becomes 8:06. Pick it in the rounding menu.
- How does biweekly overtime work?
- Overtime is calculated per workweek, so the calculator treats rows 1–7 and 8–14 as separate weeks; 45 hours in week one and 35 in week two gives 5 overtime hours.
- Does the calculator save my time card?
